Installation Coordinator/Planner – Maternity Cover

Location: Birmingham Department: Admin
We are currently seeking an Installation Coordinator/Planner for maternity cover to work from our busy Birmingham office. Liaising with clients, Regional and National Sales depts. you will be required to control a team of Installation Engineers and Sub Contractors, to schedule work into the Google planner for the appropriate amount of time.

The Role

  • Load job onto MIS and Aeromark
  • Upload job pack documents as PDF onto MIS
  • Job pack to be sent to Supervisor in charge of works with date and engineer’s details if works already booked
  • Engineer job pack made – to include Spec and drawings – eng job pack to be put in stores tray
  • RAMS typed if not site specific and sent to client, hard copy to be included in eng job pack
  • Planner to be updated with works and colour coded according to Supervisor
  • MIS to be updated with date of works, engineer and any other notes relating to works
  • Key Response to be notified when works taking place with a 9-contract number
  • POs raised for subcontractors
  • Emails sent to engineers for works to include specs, drawings, project plan, RAMS, site contacts, dates of works, PUDO site for equipment, customer order no to log on customer portal if required
  • Engineer job packs to be kept updated on shelf
  • Shopping centre work permits to be raised and delivery slots to be booked when required
  • Customer Portal Management in your Supervisor area daily
  • Weekly temperature checks with admin team
  • Weekly one to ones with your supervisor
  • Any other duties in line with this role or requested by management

The Candidate

  • Demonstrate a high level of confidence, self-motivation and initiative
  • Good communicator with colleagues and Engineers.
  • Ability to work on own initiative, to resolve issues and proactively to avoid problems
  • Ability to work under pressure
  • Have a flexible and willing approach to work
  • Team player
  • Good working knowledge/experience of computers including MS office software such as Word, Excel is essential.
